Operations Executive (Arabic)

We are seeking a dynamic and enthusiastic individual to join our team as an Event Operations Executive. In this role, you will play a crucial part in ensuring the seamless execution of events, assisting exhibitors throughout the entire process—from pre-event preparations to on-site support and post-event breakdown.
RESPONSIBILITIES
Pre-Event Support:
Assist exhibitors in the pre-event phase, guiding them through the registration and preparation process.
Check mandatory form completion for every exhibitor on a daily basis, send reminders to every exhibitors for each mandatory form prior to the set deadline on a weekly basis
Collect and compile all mandatory/optional forms to be submitted to the contractors on set deadlines.
Coordinate logistics and ensure exhibitors have all necessary information for a successful participation.
Respond promptly to exhibitor inquiries and provide exceptional customer service.
Liaise with design team to plan event signages: directional boards, signages, floor tiles, etc.
Liaise with marketing team to include sponsors on commercial branding opportunities sold to sponsors: badges, lanyards, onsite branding, etc.
Liaise with sales / marketing team regarding construction of featured areas such as conference halls, networking areas, media center, etc.
Liaise with finance team to invoice optional extras, visas, hotel booking and other services ordered by exhibitors/agents from the online exhibitors manuals
Liasie with contractors regarding printing, assembly and installation of commercial branding opportunities, featured areas, event signages and other event requirements such as registration equipment, temp staff, opening ceremony, cleaners, security etc.
Liase with venue for any venue related inquiries or requirements.
On-Site Assistance:
Be a key point of contact for exhibitors during the event, addressing any concerns and ensuring a smooth experience.
Coordinate with various teams to resolve on-site challenges promptly.
Oversee the setup and ensure exhibitors are well-acquainted with their designated spaces.
Manage onsite contractors to ensure smooth build-up of the event
Ensure commercial branding, event features and event signage are installed and completed on time
Assist exhibitors and contractor inquiries
Resolve onsite issues that may arise
Manage temp staff
Post-Event Breakdown:
Assist exhibitors in dismantling their setups post-event.
Collect feedback from exhibitors for continuous improvement.
Contribute to post-event evaluations and reports.
Applications
Proficient in Microsoft Office (Outlook, Excel, Word, Power Point, etc)
Proficient in using CRM and relevant event management applications
Adaptable in new application / technologies used by the team
Requirements:
Bachelor's degree in Event Management, Business, or a related field.
Strong organizational and communication skills.
Ability to multitask and thrive in a fast-paced environment.
Customer-centric mindset with a commitment to ensuring exhibitor satisfaction.
Basic understanding of event logistics and operations.
Fluency in English and Arabic in reading, writings and speaking
Work Experience:
A minimum of 2 years of experience in the exhibitions industry or similar and the ability to remain updated on the latest industry market knowledge.
